How to review and improve your business systems

1. Get Everything Out of Your Head

Your brain is NOT a filing cabinet. If you’re storing all your business tasks, processes, and plans in your head, you’re setting yourself up for a whole lot of stress (and let’s get real - forgetfulness), and no wonder a lot is going on in there.

Start by doing a brain dump of everything you handle daily, weekly, and monthly in your business.

This helps you see where business systems are needed and what can be streamlined.

2. Categorise & Prioritise

Once you have everything written down, group tasks into categories such as:

  • Customer service

  • Marketing & sales

  • Operations

  • Finance & admin

From here, identify which areas cause the most bottlenecks or take up the most time. These are your priority areas for systemisation.

3. Document Your Processes

Every business has recurring tasks—responding to emails, sending invoices, and onboarding new clients. Instead of reinventing the wheel each time, document step-by-step how each process should be done. This not only saves you time but makes it easier to delegate when you’re ready to grow.

4. Use the Right Tools

You don’t need fancy tech, but having the right tools (aka tech) can make a world of difference. A few ideas* on systems that might help are:

Choosing tools that align with your needs (and your brain) can help you stay organised and more efficient.

5. Review & Improve

Systems are not “set and forget.” Regularly review what’s working and what’s not. Your business will evolve, and so should your processes.
